SERVER

It's a VM hosted on vh1. It has replications in place. You can RDP into it. Its drive letter is mapped to clients as K:

TROUBLESHOOTING

Occasionally it refuses to allow multi-user mode. This is the fix for that:

1. Open the Remote Desktop Connection program on your PC and where it says "Computer" type or paste 192.168.1.14

2. Log in as Administrator with the scientific password and click Connect. Certificate warning is normal

3. Open the "QuickBooks Database Server Manager" icon on the desktop

4. Click "Start Scan"

It will always say "no problems found" but this DOES fix the multiuser error.

BACKUPS

Log in as Admin and go to File -> Back Up Company -> Create Local Backup

Make sure to save it to G:\Shared drives\Books\Qbfc

UPGRADING

Take a backup of the DB, then just double click the installer and accept the "easy install" defaults. It remembers what version we're using (Premier Nonprofit)

YIKES, in May 2021 this was fraught. It required activation (just once, I used the server) which in turn required Hazel's email and password for Intuit QuickBooks Online or some...thing, so I had to reset her password and hack her email to receive a confirmation code AND take a robocall to the school's number to hear another code. This password is in the passwords document and is very similar to her usual computer login password.

It wouldn't launch on Hazel/Jamie PCs after the upgrade, although it was fine on the server and updated the company file successfully etc. So I dunno what happened. Found this: https://quickbooks.intuit.com/learn-support/en-us/install/why-can-t-i-open-my-installed-2021-quickbooks/00/695094 which led to this: https://dlm2.download.intuit.com/akdlm/SBD/QuickBooks/QBFDT/QuickBooksToolHub.exe which ended up working, although I had to use the "Diagnostics" part under "Program Problems" (the "Quick Fix" didn't do it.)

NEW USERS

Remote in to the QB server and launch QB and log in as Admin.

Click Company menu -> Set Up Users and Passwords.

Rest is obvious. Delete previous user to avoid whining about license count.
