Pre-EOY letter

This is purely informational/for planning purposes -- nobody needs to do anything at this time.
To review: The PowerSchool EOY Process is something we perform every year, usually in early- to mid-July, in our PowerSchool SIS. This process promotes all students to the next grade level, graduates the 8th graders, and activates preregistered (new) students. Afterward, we set up the new year's schedule and grading terms, based on a copy of the previous year's, with any needed changes to teachers/courses/sections for the new year.
Prior to this process, the following things need to happen (I will coordinate/clarify wherever needed):
- I need to know next year's terms' start and end dates (to the best of our knowledge at this time)
- We (Darlene) need to store final grades for this year's Q4/S2/Y1
- We (me) need to archive/publish final report cards
- We (Darlene with my help if needed) need to run and archive transcripts
- We (me) need to make any corrections to enrollment dates (I will run audit reports and ask Darlene for clarification if needed)
- We (me) need to know if there are any students who are repeating a grade next year
- We (Darlene) should transfer out any <8th graders who we know will not be returning next year, using the day after the last day of this school year (June 11th) as their exit date; they will stay active for the rest of this school year
After EOY, we will coordinate re: setting up the new schedule and grading terms, populating the calendar, and enrolling students into sections.
I'd like to suggest that we plan for the EOY process to occur on Tuesday July 6. Please let me know if you see any problems with that date. None of you need to be present, but PowerSchool will be unavailable for an hour or so that day.
Furthermore, our PowerSchool instance will need to be upgraded to the latest and greatest version sometime after EOY is complete; the version we're on will no longer be supported. I deliberately kept us on an older version longer than most, because of the (many) bugs and issues with the new release; it's much more stable now. Most of the changes are cosmetic, but we should plan for some bumps along the way, as teachers and administrators get accustomed to the new features and interface adjustments. Some are for the better...some aren't (just my opinion.) There will be more information forthcoming, of course.
